Send owner bills as 'self billing invoice' in name of the rental office as intermediary Update Reservation software 11 April 2024
In addition to sending a regular statement (travel agency arrangement) for owners, where the statement is structured on the basis of the triangular relationship between owner > rental office > guest, it is now also possible to send statements formatted as a 'self billing invoice'. In this case, both the rental office and the owner are seen as 'entrepreneurs' and both parties are therefore subject to VAT. For this reason, the owner's statement is structured as an invoice and therefore meets the applicable invoice requirements. Because the rental office prepares and sends the statement (invoice) from the reservation system, it is a so-called 'self billing invoice'. This is also clearly indicated on the statement with the text 'issued by customer' which is shown on each statement.
So, as described above, there is a distinction between settlement under the travel agency arrangement and the own performance arrangement:
- Travel agency arrangement: you rent in the owner's name and at the owner's risk.
- Own performance arrangement: you rent in the name of the intermediary/rental office and also at the risk of the intermediary/rental office.
The big difference is that in the case of the own performance arrangement, you are not talking about 'commission' which you charge on the rent, but 'fee'. The term 'commission' basically says that you are performing a service for the owner, and in the case of the own performance arrangement, it is not, because you are undertaking at your own risk and charging a fee from the owner for this. In the case of the travel agency arrangement, you rent at the owner's risk, so you perform a service for which you charge commission on the rental. Both settlement structures are possible from our reservation system.
