Do you have a reservation in your system that is no longer relevant? If so, we always recommend canceling the reservation, so that data is retained, but the reservation is clearly given the status 'cancelled'. Think of valuable guest data that is also useful to keep in your system for the future. Also, when there are (partial) payments on the reservation, it is important that these are not lost so that the records remain correct and complete. Example situations where you might cancel a reservation:

  • The guest contacts to inform that the reservation cannot go ahead. The reservation payment was/is not (partially) made, but after offsetting any cancellation fees, a refund may be made.
  • The guest does not show up without notice. The payment of the reservation was/is not (partially) paid, but no refund needs to be made.
  • The guest wishes to make an entirely new reservation in another period and/or in another accommodation, making the old reservation irrelevant. If a payment had already been made, it can be refunded after cancellation.
  • The guest's reservation is cancelled due to other internal or external reasons. If payment had already been made, the amount can be refunded, possibly after deducting cancellation fees. If nothing has been paid yet, the reservation can be cancelled without further costs.
